How visitor management works in a gated community
A visitor management system for gated communities moves guest registration from the gate to the resident. With a paper log, or with desktop software at the guard booth, the gate staff do every step. With MyWatchtower, the resident does the first step before the guest arrives.
Pre-register
The resident registers the guest in the mobile app and issues a guest pass with a QR code or a PIN.
Arrive
The guest arrives at a staffed gate or at the self-service kiosk.
Process
Your gate staff find the guest on the pre-approved list in Mission Control. At the kiosk, the guest scans the QR code or enters the PIN.
Record
The visit goes into the entry log with a timestamp. The resident receives a notification.
What residents do
Residents use the MyWatchtower mobile app for iOS and Android. They issue guest passes as QR codes or PINs, approve access from anywhere and review their visitor logs.
When a visitor arrives, the users assigned to the property or unit receive a notification. A guest with no pass can search the kiosk directory and call the resident. The resident authorizes access with one key press on the phone.
What your gate staff or the kiosk do
At a staffed gate, your gate staff work in Mission Control. One screen shows the pre-approved visitor lists, the license plate reads and the resident contact details. Staff record the visitor, the vehicle, the resident or unit, the reason for access and the time.
At an unstaffed gate, the kiosk gives the visitor three entry methods: a PIN, a QR code scan, or a directory search and call.
Vendors and contractors
Landscapers, pool companies and other regular vendors do not need a new pass for each visit. Issue a recurring credential with an expiration date and zone restrictions. Your gate staff do not write a manual log entry on every visit.
The entry log
Every guest visit and every vendor visit is time-stamped and logged automatically. At the kiosk, the camera takes a photo at the moment of entry and attaches it to the entry record. Your board and your manager can search the log when a question comes up.
